This policy explains how asbestossurveyswindon.co.uk handles personal information. We keep it deliberately short, because you should be able to read it.

01

Who we are

We carry out asbestos surveys, sampling and re-inspections for homes, landlords and workplaces in Swindon and the surrounding SN postcodes. For data protection purposes, Asbestos Survey Swindon (asbestossurveyswindon.co.uk) is the data controller for the information described here. To reach us about your data, call 020 3386 1854, email info@asbestossurveyswindon.co.uk or use our contact form.

02

Information we collect

When you send a request through our booking form, we collect:

  • Your name, phone number and email address.
  • The property address and postcode, its size, the type of survey you are interested in, the type of building and roughly when it was built.
  • The date and time you would like the inspection to take place.
  • Anything you choose to tell us in the message box, such as the size of the building, the work planned or access notes.

If we carry out a survey, we also hold the full site address, the contact details of whoever arranges access (for example a tenant, managing agent or site contact), any plans or earlier records you give us, and the survey findings, photographs, sample references and laboratory results that make up the report.

Our hosting provider also records basic technical information about visits, such as IP address and browser type, to keep the site working and secure. We do not take payment card details through this website, and we do not ask for special category data.

03

How we use your information

  • To reply to your request and agree the scope, the date and a written price.
  • To arrange the visit, including access with occupiers, tenants or a site contact.
  • To carry out the survey, have samples analysed and send you the report.
  • To remind you when a re-inspection is due, where you have a register with us.
  • To keep the records we need for legal and insurance purposes, and to deal with any query or complaint later.
  • To keep this website running and secure.

We do not sell your information and we do not share it with anyone for their own marketing.

04

Legal basis for processing

Under the UK GDPR we rely on: contract, when we are quoting for or carrying out a survey you asked for; legal obligation, where we must keep records; legitimate interests, to run and secure the website, to send re-inspection reminders and to contact an agent, tenant or site contact you have asked us to deal with; and consent, where you have asked us to contact you. You can withdraw consent at any time.

05

Cookies and tracking

This site does not use advertising or analytics cookies and does not build a profile of you. A normal visit stores nothing in your browser at all. The detail is in our Cookie Policy.

06

Third-party services

We use a small number of providers who process data on our behalf and only to deliver their service to us:

  • Website hosting and security (Hostinger), which stores the website and screens traffic for abuse.
  • Email, which delivers booking-form requests to us.
  • The laboratory that analyses samples, which receives the sample references and the site address needed to report the results.

The typefaces on this site are served from our own hosting, so loading a page does not send your details to anyone else. We do not pass your details to anyone else unless the law requires it, or you ask us to (for example, sending the report to your builder or managing agent).

07

Data retention

Enquiries that do not lead to work are deleted within 12 months. Where we carry out a survey, we keep the report and the associated records for as long as they may be needed as evidence of the survey, to support re-inspections of the same building, and to meet our legal and insurance obligations. They are then securely deleted.

08

Your rights

You can ask for a copy of the information we hold about you, and ask us to correct it, delete it, restrict or object to how we use it, or transfer it. To make a request, call 020 3386 1854, email info@asbestossurveyswindon.co.uk or use our contact form, and we will respond within one month. If you are not satisfied, you can complain to the Information Commissioner’s Office at ico.org.uk.

09

Data security

We use appropriate technical and organisational measures to protect your information, including encrypted connections and restricted access to records. No transmission over the internet can be guaranteed completely secure, but we take it seriously.

10

External links

Where we link to other websites, such as the Health and Safety Executive or legislation.gov.uk, those sites have their own privacy policies. We are not responsible for their content or how they handle your data.

11

Children's privacy

Our service is for homeowners, landlords, managing agents and businesses. It is not aimed at children, and we do not knowingly collect information about anyone under 18. If you think we have, tell us and we will delete it.

12

Changes to this policy

We update this policy when our practices change. The date at the top of this page shows when it was last revised.
